Cancellation & Rescheduling Policy

Effective Date: October 7, 2025

This Cancellation & Rescheduling Policy (“Policy”) forms part of the Terms & Conditions of Loom Eatery & Café, LLC, operated by Private Chef Christopher LaMagna. It applies to all private dining, catering, and event bookings.

1) Deposits & Booking Confirmation

All events require a 30% non-refundable deposit to reserve your date. The deposit confirms both scheduling and procurement of ingredients. No date is held without payment. Deposits are applied to your final invoice balance.

2) Rescheduling Policy

  • 14 or more days before your event — one complimentary reschedule within 90 days, subject to availability.
  • 7 to 13 days before — rescheduling permitted once with a $100 administrative fee.
  • Within 6 days of the event — rescheduling not available; treated as a cancellation under Section 3.

Any rescheduled date must be mutually available. Price adjustments may apply if menu, guest count, or travel requirements change.

3) Cancellations

  • 14+ days prior — deposit retained; other prepayments refunded.
  • 7–13 days prior — deposit retained plus reimbursement for any confirmed ingredient or rental costs.
  • Within 72 hours — deposit retained plus a $250 chef-hold fee and any confirmed product costs.
  • No-show or inaccessible venue is treated as a cancellation within 72 hours.

4) Force Majeure & Weather Events

In the event of extreme weather, power outage, illness, or other circumstances beyond either party’s control, Loom Eatery & Café, LLC will make commercially reasonable efforts to reschedule. If rescheduling is not possible, payments are refunded less non-recoverable expenses (including special-order ingredients and rentals).

5) Illness or Emergency

If Chef illness or a verified emergency prevents performance, we will promptly notify you and offer: (a) a qualified replacement chef under our supervision, or (b) a full refund less documented costs. Client illness or emergency cancellations are handled per Section 3.

6) Alcohol & Beverage Service

We are not licensed to sell or transport alcohol. Alcohol may be supplied by the client and served by our staff in compliance with all New York State Liquor Authority regulations. The client assumes full responsibility for procurement, legal transport, and any required event or venue permits. Cancellation due to missing permits or alcohol delivery restrictions is treated as a client cancellation.

7) Refunds & Disputes

Refunds, if applicable, are processed within 7–10 business days to the original payment method. Any disputes or chargebacks initiated through Stripe or your financial institution must first be addressed directly with us via email before escalation.

8) How to Modify or Cancel

All cancellations or changes must be made in writing to:

bookings@privatechefchristopherlamagna.com

Changes are considered confirmed only once acknowledged by our team in writing.
